Required Education, Experience, Expertise and Skills

  1. Bachelors level degree—in Computer Science, Business Administration, Marketing, Communications or related area
  2. Excellent organizational and planning skills— detail oriented with the ability to handle a heavy workload, manage multiple deadlines, effective time management, adapt to shifting priorities as needed, utilize problem solving skills and the ability to work independently and as part of a team
  3. Extensive computer database skills are required— experience with an AMC or CRM database, or iMIS preferred
  4. Strong computer skills are required—with proficiency in Microsoft Office Suite, internet research abilities, communication tools (i.e. MailChimp, SurveyMonkey), basic web design experience and or knowledge of HTML a plus
  5. Excellent interpersonal skills—ability to communicate accurately and clearly both orally and in writing—pleasant telephone manner; customer service oriented; able to represent the Association with integrity when working with members and representing the Association to the public; able to work collaboratively and respectfully with a variety of people and groups
  6. Two years office experience; non-profit association work is preferred
  7. Ability to work in a small team environment is essential


Job Summary
The Association Coordinator is an exempt employee who reports to the Executive Director and has primary responsibility for the Association’s operational infrastructure, manages the day to day operations of the Association (largely through utilization and management of the iMIS database), and assists with special projects as needed.  This position will provide membership support with a focus on building exceptional and enduring member service, creating innovative solutions, and positively impacting MSSA’s growth and success.



  1. Works closely with staff and teams to coordinate schedules, manage team calendars, distribute incoming and outgoing mail
  2. Drafts, edits, and proofreads a variety of association communications including websites, e-blasts, and e-newsletters
  3. Provides support to the board and committees including notices, scheduling, agenda, and minutes
  4. Engage with members and prospective members answering phone, email and mail inquiries
  5. Provides meeting preparation through support of registration, communications, material preparation and event attendance
  6. Staffs registration desk at meetings, events and conferences as needed
  7. Financial point of contact duties—process sale transactions, coordinate dues billing, manage deposits with accounting and follows up with members as appropriate
  8. Membership database duties—providing day to day operational management and support of the database, accurate data entry, check and credit card payment processing and accurate and timely batch reporting, setting up events
  9. Assists in updating, maintaining, and developing website content and functionality using RISE
  10. In collaboration with MSSA staff and vendors assists in creating reports and queries, updating database procedures, and coordinating database and website technical support
  11. Some in-state overnight travel may be required as well as travel throughout the metro area—a valid MN Driver’s License is required
  12. Ability to work outside of regular office hours for conferences and meetings
  13. Other duties as assigned
